Envoice has simplified the working processes in ADDINOL

ADDINOL Lube Oil OÜ is an Estonian subsidiary of ADDINOL Lube Oil GmbH, founded in 1936 in Germany. The company sells lubricants in the Eastern Europe region and is based 100% on German capital. ADDINOL Lube Oil GmbH develops and produces high-performance new generation lubricants while supplying its products to over 90 countries all over the world. The company also supports its clients with consultations and training.

Addinol uses ERP software Microsoft NAV 2018 for business management. To facilitate the work of their accountants and other employees, the ERP software was integrated with Envoice for digitalizing purchase invoices and expense receipts. The decision to use Envoice was reached fast, after testing the processing of about ten documents. In a few days, in cooperation with Columbus Estonia, the software had been integrated with the existing system.

According to Aimar Tusov, the IT-manager of ADDINOL Lube Oil OÜ, the greatest added value of using Envoice is efficiency. Managing purchase invoices has become so much quicker and also more accurate. The number of errors resulting from manual processing has decreased. Envoice’s automated digitalization solution SmartExtract can identify 90% of the processed invoices and recognize both .pdf documents and images in .jpg format. Invoices can be forwarded through a mobile app and comments can be added to documents, which helps avoid additional questions. The company no longer prints documents nor archives paper documents, therefore, another step has been taken on the road towards implementing paperless accounting.

Thanks to Envoice, approval workflow have been established in the company, says Aimar Tusov. The invoices can now be approved quickly and the process has become transparent and easily controllable.
